Reports to: Farm Department Supervisor

Objective Support and assist the Account Managers to the highest level possible to successfully perform the essential functions of this role. 

This position entails assistance with farm accounts. This position also requires detailed, accurate and courteous service to our fellow employees and company personnel. Each Assistant shall grow and develop his/her talents and insurance knowledge to the highest level possible. 

Essential Functions 

Directly responsible for the daily service requirements including, but not limited to: 

Process: 

➢ Policies - (Farm & Workers’ Compensation) 

➢ Change Requests 

➢ Endorsements 

➢ Cancellation Endorsements 

➢ Final Audits 

➢ Returned Mail 

➢ Policy Log-in 

➢ DMV Suspensions & REG 5085 Forms 

➢ Payments to carriers & obtain confirmation that payment was posted to account. 

Prepare:

➢ Pre-Renewals - (PRIR’s & PRL’s)

➢ Workers’ Compensation Applications and Supplemental Questionnaires

➢ Proposals, Summaries, Spreadsheets, Schedules, Statement of Values, Rate Comparisons, etc.

➢ Binders

➢ Certificates of Insurance and Evidences of Property

➢ Auto ID Cards

➢ Replacement Cost Estimators

➢ Loss Runs

 Other: 

➢ Monitor past due accounts, including sending non-pay notification letters to insured and/or Account Manager/Producer as needed and process reinstatements accordingly. 

➢ Maintaining Agency Management System according to agency procedures. 

➢ Maintaining knowledge of all carrier websites, contacts and processing procedures. 

➢ Correspond with clients, carriers and account manager in a professional and courteous manner. 

➢ Assist with invoicing. 

➢ Filing miscellaneous correspondence. 

➢ Provide general assistance to account managers as needed. 

➢ Complete tasks according to Standard Operating Procedures. 

➢ Complete other essential functions as assigned

➢ Knowledge of Vertafore Agency Management products is preferred

Education and/or Experience 

➢ High school diploma or equivalent. 

➢ Customer Service experience preferred.

Position Type 

This is a full-time non-exempt position. The Agency provides compensation for all overtime hours worked by non-exempt employees in accordance with State and Federal laws. 

Hours of work and days are Monday through Friday, 8:00 a.m. to 5:00 p.m. 

The Agency may occasionally schedule a “work Saturday” where the office may be open from 8:00 a.m. to 5:00 p.m., or as determined by management. Employees may volunteer or be required to work. 

Work Environment 

Characteristics are relatively stable. The noise level is usually moderate and the exposure to hazardous conditions is practically non-existent.
